Ghontika is school-management software made and run by Sarotia. Each school that uses it decides what to record about its students, guardians and staff; Sarotia keeps that data safe on the school's behalf. This page says what is kept, who sees it and for how long.
What is kept
Records a school enters: students (name, class, roll, guardians, address, photo), guardians (name, mobile number), staff (name, job, mobile number, email), admission applications, attendance, fees and receipts, exam answers and results, and notices.
For signing in: each staff member's mobile number, email address and a password, stored only as a one-way hash. With "Sign in with Google", Google tells Ghontika only the email address and that it is verified — never the name, photo, contacts or anything else in the Google account.
For safety: a record of sign-ins and of who changed what (the audit log).
Who sees it
Only the school's own staff, each according to the role the school gives them; guardians see only their own children. One school never sees another school's records.
Sarotia staff look only to help the school or to keep the service running, and such access is recorded.
Who else receives it
SMS messages go through a Bangladeshi SMS provider (ADN SMS), which receives the mobile number and the message text. The servers are rented from DigitalOcean (Singapore). Error reports may go to Sentry, without personal details.
Nothing is sold or given to advertisers.
How long
Records are kept while the school uses Ghontika; nightly backups are kept for 30 days. If a school stops, its data is not deleted automatically — it is handed over or removed when the school asks in writing.
Cookies
Only the cookies needed to stay signed in and to remember the chosen language. No advertising or tracking cookies.
